1. Session Introduction
Every session will have a Organizing Secretary who will introduce the chair of that session.
Every session will be started with the introduction of the chair of that session.
2. Presenters
The below guidelines are applicable for all the participants who would like to present their work in the conference.
2.1. All the presenters should arrive the session room, at least 15 min, prior to the session start.
2.2. Oral Presentations
All the oral presenters should,
- Prepare the presentation using the PowerPoint.
- Prepare the presentation in 16:9 aspect ratio.
- Check their presentation working properly.
- Submit their PowerPoint presentation (ppt) on / before the deadline.
- prepare the slides with the minimum font size of 14px.
- Finish their presentation in 10 minutes and the additional 5 min will be allocated to the Q&A session.
- Respect the time limit of 10 minutes for the presentation and obey the words of the session chair.
Prize / Shortlist: Session Chair will shortlist a best oral presentation who will be awarded with the merit certificate.
2.3. Poster Presentations
All the oral presenters should,
- Mount their posters on the Poster Boards / Poster Stands provided by the organizers.
- Prepare their poster in 3 ft * 3 ft (or) 36 inches * 36 inches dimension which is the commonly using dimension in most of the international conferences and it is enough to display highlights of your work / study.
- Have the poster sections (but not limited to) such as Title, Names of authors and their affiliations, Introduction / Aims, Methods, Results, Conclusion, References, Acknowledgement, and Contact information of the presenter.
- Use the best font family (eg: sans-serif, etc) and font size but it should be large enough to read from the distance of 10-15 feet.
- An example of effective font choice and size:
- Title = 100 pt bold sans serif font (Arial)
- Section Headings = 48 pt bold sans serif font (Arial)
- Body Text = 28 pt serif font (Times New Roman)
- Captions = 24 pt serif font (Times New Roman)
Prize / Shortlist: Session Chair will shortlist a best poster presentation who will be awarded with the merit certificate.
2.4. Virtual Presentations
- Sharing of knowledge should not be limited by their physical presence in the conference. IntelliMindEd will allow the participants to give their presentation virtually at their convenience.
- Presenters will be provided with the User ID and Password of Zoom / Meet / any other platform, few days before the event.
- Presenters should join the meeting 30 minutes early to avoid any last minute technical issues.
- Presenters should finish their presentation within 15 minutes and the additional 5 min will be allocated for the Q&A session.
- Presenters should be ready with their presentation by opening it in their device and give the presentation by screen sharing.
- Some presenters may not give presentation online due to their unavailability at the scheduled time. In this case, presenters can send their recorded video along with the PowerPoint presentation, at least 15 days, prior to the start of the event.
3. Roles of Chairs / Co-Chairs
The Chair / Co-Chair will play a key role in the success of a session. The following are the roles of the Chair / Co-Chair.
- Should give brief introduction about the session like rules and regulations, etc.
- Should introduce all the participants of the session.
- Should strictly follow the time limits for every presentation in order to avoid the last minute rush.
- Should caution the presenter who appear to be off-track for on-time completion of the presentation.
- Chair / Co-Chair should sit in front row of the audience and facing the presenters.
- Should allow the quick discussion with the involvement of the audience.
- Chair / Co-Chair can ask a question after presentation.
- Chair / Co-Chair should shortlist best presentation who will be provided with the merit certificate.
- Chair / Co-Chair should fix a criteria for the shortlisting of a best presentation.
